OPERATIONAL SUPPORT SPECIALIST, ADVENTURE CREW
Part-time, hourly, 20-25 hours per week with additional hours in July and August
Salary range: $18 – $21/hour
Adventure Crew is a dynamic non-profit organization that aims to connect city teens to nature and each other through engaging outdoor adventures. Serving nearly 1,000 students annually from 27 schools in Cincinnati and Northern Kentucky, Adventure Crew provides city teens with no-cost outdoor adventures, including kayaking, biking, hiking, snow skiing, rock climbing and more. Adventure Crew is the organizer of Paddlefest, recognized as the nation’s largest celebration of paddling, including the Outdoors for All Expo.
Depending on priority tasks, the Operational Support Specialist reports to the Executive Director and other Director-level staff. This is a growth-oriented role that works collaboratively with all staff to ensure efficient and successful day-to-day operations, serving as an essential team member supporting office functions, event planning and coordination, and programs.
KEY RESPONSIBILITIES
General Administrative (20%):
*Collecting mail from PO box
*Collating mailings for print communications
*Merchandise sales and shipping
*Monitoring phone calls and general inquiry emails
*Maintaining current data for donor and other databases
*Ensuring office supplies are stocked
Event Support (40%, up to 90% for major events):
*Picking up donated items from partners and businesses
*Managing permits and paperwork for events
*Assisting with event vendor recruitment, paperwork and monitoring
*Invoicing event vendors
*Website updates and social media posts
*Organizing and maintaining inventory of merchandise and monitoring online stores
*Purchasing and organizing event supplies
*Tabling at outreach events
Program Support (40%):
*Volunteer Coordination
*Maintain attendance database and participant waivers
*Manage documentation and background checks for program staff and volunteers
*Program coordination and support as needed
*Other duties and special projects as assigned.
MINIMUM SKILLS & EXPERIENCE
*Minimum two years experience in a collaborative work environment, with a portion of this time dedicated to administrative responsibilities
*Proficiency in Microsoft Office, Google Drive, and other office technology
*Technical savvy and willingness to learn new systems
*Strong organizational skills, including time management and attention to detail
*Excellent written and oral communication skills
*Ability to interface and collaboratively engage with a wide range of individuals and businesses
*Strong affinity for the outdoors and youth causes, environmental and social justice, advancing equity, inclusion, and belonging
*Ability to honor deadlines and commitments and respond to various communication styles. Flexible and adaptive to changing priorities
*The ability to work cooperatively with people of different backgrounds
POSITION DETAILS
Work Location: Cincinnati, OH
Work Remotely: Blend of work-from-home (in the Cincinnati area), and office location, based on seasonal needs and with the approval of the Supervisor.
Schedule: 20-25 hours a week, up to 40 hours in July and early August, to support Paddlefest, with flexible days and times, Monday to Friday. Some weekend and evening events and program support are required.
Physical Requirements: This position requires reliable transportation, picking up mail from the post office box, transporting organizational gear and merchandise in personal vehicles, lifting 30 pounds, and significant time standing and moving across large areas for major events.
Mileage & Parking: Monthly auto stipend for personal car use, with the transition to mileage tracking reimbursement system shortly. Reimbursement for work-associated parking fees.
