Executive Staff Assistant

Job Description

We seek tech-savvy candidates with excellent organizational, interpersonal, and communication skills and keen attention to detail and assist in a publication department’s marketing, production, staff management, distribution, and financial operations.

This part-time position (75% FTE, calendar year) includes benefits, and the selected candidate will become vital to a small but committed staff.

 

Job Responsibilities

  • Maintain production schedules for six to seven books annually.
  • Submit published titles for contest and award consideration.
  • Fulfill requests for review copies.
  • Manage the website, including updates with press information for titles and author events.
  • Enter contracts into the royalty tracking system.
  • Organize and oversee the annual appearance at the Book Fair of the Association of Writers and Writing Programs Conference.
  • Assist with social media posts.
  • Onboard new graduate and undergraduate staff.
  • Coordinate with the business manager to handle monthly expenses and payments to freelancers and authors.
  • Obtain bids from printers and coordinate warehouse delivery of stock.
  • Track stock of existing titles and initiate reprintings as needed.
  • Assist with local and remote author events.
  • Gather and evaluate information and assist in determining priorities.
  • Coordinate and evaluate procedures.
  • Coordinate the use of facilities and equipment.
  • Perform research concerning procedures and practices, identifying problems and recommending solutions.
  • Serve as liaison for administrator in the interpretation of policies and procedures.
  • Represent the administrator on committees and attend meetings on behalf of the administrator.
  • May coordinate personnel transactions.
  • Receive and reconcile expense statements.
  • Review and monitor expenditures on supplies, equipment, etc.

 

Qualifications

  • Bachelor’s Degree
  • Five years of relevant work experience and other specialized training can be used instead of an education requirement.
  • One year of relevant work experience
  • Experience with social media and web writing.
  • Experience with event planning.
  • Familiarity with Microsoft Word, Excel, Outlook, and Teams; Adobe Illustrator and Canva; and WordPress
  • Self-motivated and driven to learn new things.
  • Ability to manage multiple tasks at once and prioritize responsibilities.
  • Ability to meet deadlines.
  • Commitment to cultural diversity, equity, and inclusion.
