Private Events Coordinator

Job Description

As the Private Events Coordinator based out of our Oakley Taproom, you will take on the client relationship from the Private Events Sales Manager upon signing the event contract. You will maintain the relationship and manage the event details until the “day of,” ensuring a smooth transition to the Event Operations team.

Managing multiple clients and timelines, you’ll help Clients revisit our beautiful event spaces with site visits to build up to their event, organize tastings, and help them make decisions about their event layout and linen choices. Throughout your time with the Client, you will also be an avid MadTree Brewing Company ambassador who lives out our behaviors of…Connect, Grow, and Give a F*ck.

 

Job Responsibilities

  • Post-contract signing, continued consultation & communication with event clients to assess and understand their needs for their event; topics will include staffing, catering, signage, entertainment, vendor orders, and other specialized requirements of the Client or event.
  • Prepares and completes Banquet Event Orders (BEOs), providing detailed information on clients’ specific needs from arrival through to event start, its end, and departure for clients and operations departments to communicate specific needs, contracted/agreed upon details, and pricing for the event and discussing in weekly BEO meetings with the location GM, Culinary Leader, and all relevant personnel to maximize budgets/sales goals and operational execution.
  • Leading the hand-off of the event to the Private Events Captain and “Day Of” operations teams.
  • Post-event follow-up with the Client to obtain feedback and find any recovery opportunities.

 

Qualifications

  • Two or more years of experience in event hospitality & management.
  • Excellent Communicator: timely and professional, internally and externally, gets essential information and updates to clients, guests, vendors, teammates, and leadership.
  • Seller: has the skills, ability, and personality to sell event spaces, features, and other products to clients to improve overall event experience and business results.
  • Attention to Detail: recognizes the importance of quality, ensuring that even the most minor details are not overlooked.
  • Multi-Tasker: can handle, balance, and prioritize more than one task at a time, particularly over the long-term timelines of multiple events.
  • Project Manager: effectively and efficiently stays on top of coordinating and organizing events, showing proficiency with Google and Microsoft Office applications and utilizing other event management software.
